Newsletters: Requirements and Recommendations
Email Newsletters with Emma
For an email-based newsletter, Arts & Sciences recommends using Emma: WashU's approved web-based email marketing platform for creating and delivering mass email communications. Emma is available to departments at no additional cost.
Requirements for using Emma at WashU
- Obtain approval from A&S Information Technology. Departments that wish to offer a newsletter subscription must first obtain approval from A&S Information Technology. This review helps ensure that the collection, storage, and use of personal information complies with U.S. and international marketing and data privacy guidelines.
- Use Clear Opt-In Language for Collecting Email Addresses. When collecting email addresses for a mailing list, make clear to the visitor what they are signing up for. Please use this opt-in language on every web form that collects email addresses for a mailing list. Specifically, we require creating a checkbox with the following consent language:
“By checking this box, you agree to receive updates about (your department or center), news and other marketing communication from Washington University in St. Louis, Arts & Sciences. You may unsubscribe from the communications at any time. For more information, please review our Privacy Policy.”

As either a supplement or an alternative to mass email newsletters, you may also develop a newsletter page in Drupal. The "Publication Page" content type provides a layout that is tailored to providing department updates and to displaying announcements and articles.
